I may use the contact information I have (your name and email address) to email you every couple of months with updates on the services I can offer you.

Besides the data I hold as stated above, if you are a customer for whom I have performed a translation, I hold your company name, address, VAT number and certain other statutory data. I need this to invoice you and prepare statutory financial reports for the British authorities.

Lastly, I keep the translations I have done for you on my own private, non-networked computer system. It is backed up "on the cloud" in a secure environment. I do not share any of the work I undertake for you, and I am bound by the confidentiality clauses in the code of conduct imposed on me by the Chartered Institute of Linguists. Translations are considered to be highly confidential information and may contain sensitive data.

I need to keep copies of the translations I perform for you for at least six months, or until paid for, whichever is sooner, to assist me in performing my translation work. To meet statutory requirements, certified translations need to be kept for a period of six years.

 

If you require me to delete a translation after the relevant period (or after it has been paid for, whichever is sooner), please send a request for confirmation that I have removed all copies, both paper and electronic, from my systems.

 

I maintain a system under which I can control the data I hold.
